Waiting lists

How a full date or a booked-out time fills itself again when someone cancels, without you phoning anyone.

Why a waiting list pays off

When a date is full or every slot is taken, the people who wanted it don't have to give up. They leave their email, and the moment a place frees up, they're told by email. You don't do anything.

Without a waiting list, a cancellation usually means an empty place: nobody knows it's free again, or you spend the morning ringing round to fill it.

Full events: it just works

For events there's nothing to switch on. As soon as a date is full, customers see Join the waiting list instead of the sign-up button.

When a place opens up, because someone cancels, you move someone away or you raise the capacity:

  • everyone on the list gets an email at the same time,
  • the place goes to whoever signs up first, so nobody is holding it up,
  • signing up takes them off the list; the others stay on it for the next place.

On each date you can see who's waiting, and tell someone about a place yourself:

Bookings and appointments

Bookings work the same way. On your booking page customers can press Join Waitlist, choose what they want (a court, a room, a service, or a particular person), the days and the time of day that would suit them.

They're emailed when matching time frees up: after a cancellation, when you move a booking away, or when you open extra hours. Each time range is told once, so nobody gets the same email twice.

If you set up as a one-person business, waiting lists for bookings are hidden to keep things simple. Switch on Show all features in Settings to get them.

Seeing who is waiting

Waitlists in the menu lists everyone who is waiting right now. Next to each entry you can Notify now or Remove them.

Top demand shows which times people want most and can't get. If the same evening keeps coming up, that's a sign to add a session, open longer, or charge a little more for it.
